The Dashboard sheet of the example workbook with money received, tentative profit, profit per hour, open balances, the next balances due and a chart by month

What it solves

The gap

Photographers often book a wedding a year ahead, take a retainer, spend dozens of hours editing and pay a second shooter, yet rarely know what a session really earned per hour, which balances are late, or what goes on Schedule C and on a 1099-NEC.

What it is

One workbook that turns packages, bookings, payments and costs into profit per hour, balances due, sales tax, a 1099-NEC check and a cash-basis Schedule C helper.

How you use it

Fill in Settings and your packages once, then log each booking and payment and check the Dashboard before each wedding and at year end.

Built for photographers: profit per booking, retainers and the US tax forms in a plain workbook without macros or a subscription.

Who it is for

Use it when

  • Pricing next season's packages.
  • Chasing overdue balances before a wedding.
  • Preparing the sales tax return and the year-end numbers for a tax preparer.

Built for

  • Self-employed US wedding, portrait, family, newborn and headshot photographers who file Schedule C.
  • Part-time and full-time photographers who take retainers.

What is inside

Profit per hour

Each booking counts shoot, travel, editing and admin hours (or the package estimate) and subtracts second shooters, albums, mileage and card fees, so you see what it really paid per hour.

Retainers and balances

Retainer and balance due dates come from your contract terms; each booking shows overdue, retainer due, balance due, paid in full, overpaid or cancelled.

Sales tax and 1099-NEC

Sales tax on the part your state taxes, at the client's rate, with a return worksheet by rate, and a check of which helpers need a Form 1099-NEC for the tax year.

Schedule C and price check

A cash-basis Schedule C helper for your tax preparer and a price check of every package against your overhead and target pay per hour.

Questions

An Excel and Google Sheets workbook that tracks bookings, payments and costs and prepares profit, sales tax, 1099-NEC and Schedule C figures. It is a tool, not tax advice.

Excel 2019, 2021, 2024 or Microsoft 365, LibreOffice 7 or newer, or Google Sheets. It does not work in Excel 2016 or in Apple Numbers. There are no macros.

Invoices, contracts, a client CRM, lead tracking, self-employment tax or estimated payments, depreciation, and built-in sales tax rates (you enter your own).

The workbook is generated from code, and its tests recalculate it in LibreOffice and check the results against an independent model in Python. Created with AI assistance; every formula is checked by PN Scripts with automated recalculation tests.
